Receive answers: the PDF of each response and the CSV export
Updated 21 October 2026 · 3 min read
Each answer lands on the Responses page of its form. Open a response to read it and click Download PDF. To work in a spreadsheet, click Download all as CSV, or use the semicolon version with decimal commas if your Excel writes 12,5.
Every time a client sends the form, Fillfold saves the answers and builds the PDF straight away. You find both in your account, form by form.
Opening the responses
- Go to Forms and click Responses on the form's line. In the form builder, the Responses button at the top leads to the same page.
- The responses are listed from newest to oldest, with the date and time and the first answer.
- Click a response to open it. You see every question that was shown to the client, with its answer. Photos and signatures appear as pictures, other files as links with their size, and tables with their totals.
Downloading the PDF of a response
- Open the response.
- Click Download PDF.
If the document could not be made, the response shows PDF failed and a Retry PDF button. The answers are saved either way. Regenerate PDF builds the document again, for example after you corrected your business details.
Exporting everything to a spreadsheet
- On the Responses page, click Download all as CSV.
- If your Excel writes decimals with a comma (12,5), as in French, German or Spanish, click CSV for Excel with decimal commas (semicolons) instead. That version separates columns with semicolons and writes numbers with a decimal comma.
- Open the file in Excel, Google Sheets or LibreOffice.
A CSV file is a plain spreadsheet file: one line per response, one column per question. The first columns are the date in UTC (universal time), the language the client used, and whether the response was set aside.
Being told of new responses
When Email me when new responses arrive is ticked in the form's Settings tab (it is by default), Fillfold emails you as responses come in:
- At most one email every 10 minutes for each form. Responses that arrive in the meantime are on the page, without a second email.
- The email names the form and has a button to its Responses page.
- It never contains the answers, to protect your clients' privacy.
- It goes to the email address of your account, once that address is confirmed.
To stop these emails, untick the box. It applies straight away.
Good to know
- The page shows the 100 most recent responses. The CSV file holds up to 5,000.
- In the CSV, amounts and numbers stay plain numbers, so you can add them up: with a decimal point (12.5) in the standard file, with a decimal comma (12,5) in the semicolon version. Yes / No answers are written as
yesorno, whatever the client's language. Files are listed by name, and a signature reads “signed”. - A question the client never saw, because of a condition, leaves an empty cell.
- If you changed the form over time, the CSV keeps a column for questions that only older versions had.
- When several responses arrive from the same source within an hour, a badge shows it. You can click Set aside as suspicious to move a response to the Set aside list, and Bring back to undo it.
- No response is created when you try the form in the Preview tab.
- To delete a response or set an automatic deletion delay, see Retention and deletion.
Questions
- If I edit the document, do old PDFs change?
- No. Each response keeps the document as it was published when the client answered. Regenerate PDF rebuilds it from that same version, with your current business details.
- Why does the CSV have fewer lines than the page?
- Responses you set aside as suspicious are left out of the CSV file. The page also has a separate Set aside list for them.
- Can I receive the answers by email?
- No. The email only tells you that a response arrived and links to the Responses page of the form. The answers stay in your account, to protect your clients' privacy.
