How long answers are kept, and how to delete them
Updated 21 October 2026 · 3 min read
Responses are kept until you delete them, unless you choose a delay under Delete responses automatically in the form's Settings tab. You can also delete one response, a whole form once archived, or your whole account from the Security page.
Your clients' answers often contain personal data: names, addresses, photos, signatures. Keeping them only as long as you need them is good practice, and in the European Union it is one of the principles of the GDPR (Article 5: “storage limitation”). Fillfold lets you delete them automatically or by hand.
Choosing how long a form keeps its responses
By default, a form keeps its responses until you delete them yourself. To set a delay:
- Open the form in the builder and click the Settings tab.
- Find Delete responses automatically.
- Pick a delay: After 30 days, After 90 days, After 6 months, After 1 year or After 2 years. Never (I delete them myself) brings back the default.
The delay is counted from the day each response was received. It also applies to the responses you already have: those older than the delay are deleted at the next daily clean-up, within about 24 hours. Responses, their PDFs and attached files are then deleted for good. You do not need to publish again for this setting to apply.
Deleting one response
- Open the form's Responses page and click the response.
- Click Delete.
- Confirm the question “Delete this response and its PDF permanently?”.
The files the client attached are removed with it. See Responses: PDF and CSV.
Deleting a whole form
Fillfold never deletes a form in one click: you archive it first.
- On the Forms page, click the archive icon (Archive) on the form's line.
- Open the Archived list on the same page.
- Click the bin icon (Delete permanently) and confirm. The form and all its responses are deleted, together with the files your clients attached and the PDFs. Restore brings an archived form back instead.
Deleting your account
- In the menu, click Security.
- Under Delete my account, click I want to delete my account.
- Enter Your password, then type
DELETEin the box Type DELETE to confirm. - Click Delete everything permanently.
This removes your account, all your forms, every response, uploaded file and generated PDF, and your business details. Nobody can recover them, including the Fillfold team. If two-step verification is on, you must have signed in with your code (see Create your account and turn on two-step verification).
Good to know
- Download what you want to keep before any deletion: the CSV file and the PDFs.
- When a response is deleted, the PDF link your client received stops working. See What your client sees.
- You are responsible for the delay you choose and for what you collect. How Fillfold itself handles data is described in the privacy policy.
Questions
- Can a deleted response be recovered?
- No. Deleting a response, a form or an account is permanent. Download the PDFs or the CSV file you want to keep first.
- Does automatic deletion also remove the PDF?
- Yes. The response, its PDF and the files the client attached are all deleted for good.
