Google Form to PDF: what Google Forms and Microsoft Forms can do, and how to get one PDF per response

Updated 21 October 2026 · 7 min read

Google Forms can print all responses, and your browser can save the printout as a PDF. Microsoft Forms can print a form, a summary or one response, and lets respondents download a PDF receipt if you allow it. For a branded PDF per response, use a form builder that produces the document itself.

"How do I turn my Google Form into a PDF?" can mean three different things. You might want a blank copy of the form to print. You might want the answers as a PDF, for your files. Or you might want each response to become a proper document, such as a quote, a report or a signed agreement, that you or your client can keep. The built-in tools handle the first two. The third needs a different approach. Here is what each tool does, according to its own help pages.

What Google Forms can do on its own

Google's official cheat sheet for Forms lists, among other things:

  • Print all responses.
  • Send responses to Google Sheets.
  • Download responses (.csv).
  • Send responders a copy of their response.

Printing responses to a PDF

"Print all responses" sends every answer to the print window of your browser. In that window, most browsers let you choose to save as a PDF instead of printing on paper. The result is one PDF file that holds the responses as Google Forms lays them out. This is the quickest answer to "how to convert a Google Form to PDF", and it costs nothing.

Sheets and CSV

Google's help on managing responses explains how to Link to Sheets, which puts all responses in a spreadsheet, and how to download all responses as a CSV file. From Google Sheets, you can then print or download the sheet as a PDF. This gives you a table, one row per response, rather than one page per person.

Add-ons and Apps Script

Google's "How to use Google Forms" page mentions add-ons, Apps Script and other tools for going further with your data. This is where you would look for a way to fill a document template with each response. If you try an add-on, read its own page and the permissions it asks for before you install it, because it will see your responses.

What Microsoft Forms can do on its own

Microsoft's help covers three kinds of printing in Microsoft Forms:

  1. A blank form: the More options button next to More form settings, then Print Form, for respondents who need a paper copy.
  2. A summary: on the Responses tab, More options, then Print summary. It shows the questions, the number of responses and a chart per question.
  3. One person's answers: on the Responses tab, View results, then More options and Print response.

As with Google, your browser's print window can save any of these as a PDF.

Microsoft also says you can select Open in Excel on the Responses tab, and that "from Excel, you can export or save your form responses as a PDF file".

Receipts for respondents

Microsoft Forms has a setting under Response receipts: Allow receipt of responses after submission. Once it is on, a respondent can print or download a PDF of their own answers after sending the form. Microsoft adds that the email confirmation receipt is only available when the respondents belong to your organisation.

What the built-in options have in common

All of these are honest, free and quick. They also share a few limits, which matter when the PDF is meant for a client.

  • The PDF shows the form's layout, question after question. It is a record of answers, not your document.
  • Your branding is limited to how the form itself looks.
  • Totals are not worked out on the page. A quote with lines, VAT and a total needs a spreadsheet next to it.
  • Each PDF is made by hand, one print at a time, unless you add an add-on or a script.

If a printout is all you need, stop here: the built-in tools do the job.

Giving each response its own PDF

The other approach is to start from the document. You design the PDF once, with your logo, your wording and the places where each answer goes. Every response then becomes its own finished document, without printing anything.

This is how Fillfold works:

  1. Rebuild the questions once. There is no import from Google Forms or Microsoft Forms. Start from one of the 97 templates, or describe the form in a few sentences and let AI draft it. Most question types will look familiar: short and long text, dropdowns, checkboxes, dates, scales, file uploads. See question types.
  2. Add what a printout cannot do. A Line items question works out each row, and Calculation questions give the subtotal, VAT and total. Respondents can add photos and sign with a finger.
  3. Design the document. Place each answer in your layout, with your business details printed on every copy. See design the PDF.
  4. Publish and share the link. See publish and share.

When your client sends the form, they see an Open your PDF button with their document. The link works for 90 days. You keep each response and its PDF in your account, and you can still download every answer as a CSV file for a spreadsheet. See responses, PDF and CSV.

Moving a form across without losing anything

If you decide to rebuild a form, a little preparation helps.

  • List your questions with their type and whether they are required. A screenshot of each section is enough.
  • Note your conditions, such as "go to section 3 if the answer is yes". In Fillfold, a question can appear only when an earlier answer calls for it. See conditions.
  • Keep your old form open until the new one is published and tested, then replace the link wherever you shared it.
  • Export your old responses to CSV before you close the old form, so your history stays with you.

Try it with a ready-made form

If your Google Form collects the same kind of information again and again, such as job requests, client details or site checks, a template is often closer than you think. Look at the quote with totals, the client onboarding form or the inspection report. For background on the two kinds of PDF form, read how to create a PDF form online.

Questions

Can Google Forms send each respondent a PDF?
Google lists an option to send responders a copy of their response, but its help pages do not describe that copy as a PDF. To give each person a designed PDF, you need an add-on or a tool that builds the document.
How do I convert a Microsoft Form to PDF?
Print a single response from the Responses tab and choose to save it as a PDF, or open the responses in Excel and save them as a PDF from there. Respondents can also download a PDF of their own answers if you allow receipts.
Can I import my Google Form into Fillfold?
No. Fillfold imports only forms exported from Fillfold. You rebuild the questions once, from a template or by describing the form and letting AI draft it.
Is the printout of a response the same as a document?
Not quite. A printout shows the questions and the answers as the form presents them. A document puts the answers into your own layout, with your logo, your wording and any totals.
